To support its progressive growth and build the organizational capability, Eni Muara Bakau BV is looking for qualified personnel with high motivation, initiative, and integrity to fill in the following position:
Admin Assistant (ADM-02)
Main Accountabilities and Responsibilities
- Organize day-to-day secretarial and office administration duties.
Secretarial
- Organizing and make priority for the flow of communications (phone calls, visitors, records, etc.)
- Translating incoming and outgoing letters and faxes, minutes of meeting and also technical document from Bahasa Indonesia to English and vice versa
- Coordinate logistics (HSE inductions, visas, relevant permits, office facilities and supplies, transportation and hotel bookings) to support HQ missions/visits
- Handling confidential business matters for all staff
- Maintaining and Organizing all Technical and staff’s file
- Drafting correspondences and reports
- Drafting general / short letters, memos and faxes on behalf of Technical Manager and staff
- Preparing documents or letter
- Arranging business travel for Technical Manager and staff (preparing documents needed and make a flight reservation as well)
- Handling incoming and outgoing mail and faxes
- Record and maintain Technical & personnel leave balance calculation, training and business trip as well
- Keep the Technical Manager calendar up to date
- Archiving all the documents belongs to Technical & Exploitation Departments (including books, manual, etc.)
- Liaise with HR Officer for monitoring mission visitor’s status.
Administrative
- Coordinate preparation of the routine regular reports and organizes their dispatch
- Ensures proper records e.g. weekly, monthly, well reports, etc. are kept for transmittal
- Monitors and orders stationery and office supplies when required
- Schedules appointments or meeting for staff
- Organizes all aspects of Department (invitations, presents, catering, etc.)
- Compiles exploitation reports and staff schedules
- Performs other related duties as required
- Liaise with Finance Department (Accountants and Cashier) – regarding expense claim reimbursement and other settlements
- Liaise with HR Officer for updating Technical & Exploitation staff’s movement or personnel on board (weekly)
- Generating and following up Material & Service Requisition (MSR)
- Keep vacation / training / mission planner up to date and inform the Technical Manager about any changes
- Keep leave register for all the staff up to date in close coordination with HR
- Keep up to date the missions register and report coordination / planning activities to the Technical Manager
Qualifications & Experience
- Education: Secretarial Education Diploma / Business Administration Diploma / Management Diploma
- Required experience: 2 years experience should be performing secretarial functions for managerial level personnel.
- Knowledge, Technical, and Professional Skills:
- Capable to use office application computer program
- Good knowledge of administrative work
- Good command of spoken and written English
